The "Lost" MX-5 That Turned a Sceptic into a Believer

Most dealer group accountants don't talk about this. Stock errors aren't rare. They're just invisible.

Here's a real story from a dealer group that shows why unexpected assets are never as unlikely as people think.

Several years ago, we were rolling out LotCount across a large dealer group. Like any organisation, there were believers and sceptics. One dealer principal running a Mazda franchise was firmly in the second camp. His operation was tight, well-run, and under control. Audits? Unnecessary.

The group, however, had made LotCount part of its governance and profitability strategy. Every month, the entire group was audited, with accountants reconciling physical stock back to book stock.

What made the difference was how the audit was done.

LotCount uses a floor-to-sheet audit. Auditors physically walk the site, scan every VIN, and confirm each vehicle exists where the system says it should. And crucially, if an auditor finds a vehicle that isn't expected, it can be added instantly as an Unexpected Asset.

That's exactly what happened.

During one audit, an auditor spotted a pristine red Mazda MX-5 convertible on site. It was added to the audit without issue. But when the system tried to reconcile it, an anomaly appeared: the vehicle showed as already sold and delivered.

That raised a red flag.

On investigation, the accountants uncovered what had actually happened. There were two identical red MX-5s in stock; one was registered, the other off-site at a promotional event. The licence plates from the sold car had been fitted to the wrong vehicle. The customer had unknowingly driven away in the incorrect car.

It sounds unbelievable, but in high-volume dealerships, it's surprisingly easy. Vehicles are often identified by licence plate, not VIN. If the plates look right, nobody questions it. Without a VIN-based audit, this kind of mistake goes completely undetected.

LotCount’s belt-and-braces approach, checking VINs first, plates second, exposed the issue immediately.

Because the anomaly was caught early, the dealership acted fast. The customer's correct vehicle was recovered, the situation was resolved professionally, and the customer was looked after.

Had that audit not taken place, the error could have gone unnoticed for months or longer.

The dealer principal who once questioned the value of audits became a believer overnight.

We don't see cases like this every day, but we do see smaller anomalies on almost every audit. Each one represents tied-up capital, hidden risk, or silent profit leakage. Add them together, and they amount to real money.

That's why regular, comprehensive audits and tools like Unexpected Asset detection matter. They keep operations healthy, protect customers, improve governance, and safeguard profitability.

Mistakes happen even in great operations. What matters is having systems in place that catch them before they become expensive problems.
