Should You Build Your Own Stock Audit App? LotCount vs DIY Inspection Platforms

Power Apps and inspection platforms can digitise the clipboard, but the reconciliation engine, AI validation and funder-accepted reporting are the hard 80% you'd be building from scratch.

DIY audit apps vs lotcount

Generic inspection platforms (Power Apps, SafetyCulture, GoCanvas, Fulcrum and similar) can be configured into a vehicle stock-check form with barcode scanning, photos and GPS. What they cannot be configured into is a reconciliation engine: the matching of every VIN against the DMS and the floorplan funder's statement, the AI validation that makes the evidence defensible, and the report a funder will accept. That is the part that recovers money, and it is the part you would be building from scratch.

The short version: a DIY form app digitises the clipboard. It collects data faster, but someone still has to integrate the DMS, parse each funder's statement format, write the matching rules, categorise the exceptions, validate the images, and convince the funder to accept the output. LotCount has spent over a decade building exactly that, has Bureau Veritas validation and ISO 27001/9001 certification, and runs a first site audit free. The build-vs-buy question here is really "how much is your development team's next two years worth?"

Where DIY projects stall

The form is the easy 20%. Teams that build stock-check apps on generic platforms usually get a working pilot quickly, then meet the hard 80%: every DMS exports differently, every funder statement arrives in a different format, matching logic has to handle partial VINs and duplicates, and evidence needs anti-fraud validation or the audit proves only that someone submitted a form. Meanwhile the platform licences, connector fees and internal development time accumulate into a real budget line, for a tool that no funder has agreed to accept and only one person in the business knows how to maintain.

The uncomfortable question for any DIY audit tool is the one auditors will ask: who audits the audit? A self-built system with self-defined rules and no external validation is evidence of effort, not of stock.

What you get instead

LotCount is the productised version of the platform those projects are trying to build: mobile VIN capture on staff smartphones, AI validation of every image (location, time, context and OCR accuracy), automated three-way reconciliation across physical stock, DMS and funder statement, and a timestamped VIN-traceable report within 48 hours. It has been developed since 2015 by CheckVentory Innovation, currently supports around €1bn in vehicle assets across European dealer groups, and its output is accepted by floorplan funders as audit evidence.

When a DIY build makes sense

If your requirement is genuinely simple (a single site, internal checklists, no funder involvement, no DMS matching), a form-builder app is a reasonable, cheap improvement on paper. Equally, if your group has an unusual workflow that no vendor covers, building on a platform you already licence can be rational. The mistake is scoping the project as "an app that scans cars" when the business problem is "prove and reconcile the portfolio", because the second one is where the cost and the value both live.

Try the built version before you build one

The first site audit is free and runs on your team's own phones. If it doesn't surface anything, you've lost a day. Most first audits pay for years of subscription.

Frequently asked questions

Can I build a stock audit app in Power Apps?

You can build the data-capture layer: a form with barcode scanning, photos and GPS. The audit value sits in what happens next: DMS integration, funder statement parsing, VIN matching, exception categorisation, image validation and a report format funders accept. That reconciliation layer is a substantial custom build with ongoing maintenance.

What's wrong with using a generic inspection app for lot counts?

Nothing, if you only need digitised checklists. But generic apps verify that a form was filled in, not that a vehicle exists. Without VIN validation and three-way reconciliation, the discrepancies that cost money (sold-not-invoiced units, ghost vehicles, funded-not-located stock) never surface.

How quickly can LotCount be deployed compared with a custom build?

A first LotCount site audit can run within days, free, using staff smartphones, with a report in 48 hours. A custom build typically needs months of integration work before its first reliable audit, and the output still lacks external validation.
